1. Who we are
Rep Cloud("we," "us," or "our") provides a multi-tenant field service management platform at https://repcloud.net, including CRM, scheduling, finance, and third-party integrations. This policy applies to the website, web application, and related services.
Rep Cloud is offered as a private business application. Our QuickBooks Online integration is configured as a private Intuit app (not listed on the QuickBooks App Store) and is used only by authorized customer workspaces.

2. Information we collect
2.1 Account and tenant data
- Name, email, company/tenant details, and login credentials
- Roles, permissions, and workspace membership
- Support messages and configuration settings you submit
2.2 Business data you enter in Rep Cloud
- CRM records (accounts, contacts, opportunities/jobs)
- Vendors, invoices, expenses, material receipts, labor, equipment rentals, and payouts
- Scheduling, production tasks, and related operational records
2.3 QuickBooks Online (QBO) data
If an authorized administrator connects QuickBooks Online, we access QBO only with the OAuth scope com.intuit.quickbooks.accounting, and only as needed to provide the private integration. Depending on features you enable, that may include:
- Customers / Jobs: customer and job (sub-customer) records linked to accounts, contacts, and opportunities
- Vendors: vendor records used for payables
- Invoices: invoices pushed from Rep Cloud and status updates from QBO
- Bills: bills created from expenses, material receipts, hourly labor, equipment rentals, and labor payouts
- Accounts & Items: chart-of-accounts and item references used for mapping expense categories and invoice lines (not a full catalog mirror)
- Company info: used to verify the connection is healthy
- Payments & Bill Payments (read-only via webhooks): payment events used to update invoice and bill/payable status in Rep Cloud. We do not create customer payments or bill payments in QuickBooks on your behalf.
2.4 Connection credentials and identifiers
- OAuth access and refresh tokens (stored encrypted)
- QuickBooks company (realm) ID, sandbox/production flag, and sync link IDs
- Optional Intuit Client ID/Secret and webhook verifier when configured for the app
- Sync job history and error messages needed for troubleshooting
2.5 Technical data
- IP address, browser/device type, and approximate usage logs
- Cookies and browser storage as described in Section 8
3. How we use information
- Provide, operate, and improve Rep Cloud for your tenant
- Sync selected CRM and finance records with QuickBooks Online when you initiate or schedule syncs
- Reflect payment and payable status from QuickBooks (paid, partially paid, voided, etc.) so finance workflows stay accurate
- Authenticate users, secure accounts, and prevent abuse
- Provide support and notify you about service changes
- Comply with law and enforce our Terms of Service
We do not sell your personal or QuickBooks business data. We do not use QuickBooks data to advertise to third parties. Data accessed through the private QuickBooks integration is used only to deliver the features described in this policy.
4. QuickBooks-specific practices
- Connection is initiated by an authorized administrator using Intuit OAuth. You can disconnect from within Rep Cloud and/or revoke access in your Intuit/QuickBooks account settings.
- We store mapping/link records (for example, local invoice ↔ QBO invoice ID) so syncs remain consistent. We do not keep a full duplicate of your entire QuickBooks company file.
- Outbound sync may create or update Customers, Jobs, Estimates, Vendors, Invoices, and Bills in QBO based on actions taken in Rep Cloud.
- Inbound updates for invoice and bill payment status may arrive through Intuit webhooks when configured.
- Each tenant's QuickBooks connection and tokens are isolated to that tenant's workspace.
- The integration is private and not published on the QuickBooks App Store. Access is limited to companies that authorize the connection.
5. Sharing and processors
We may share information with:
- Intuit / QuickBooks Online — when you connect and sync, data moves between Rep Cloudand Intuit under Intuit's terms and your QBO authorization
- Infrastructure providers — hosting, databases, email, and monitoring vendors that process data only to run the service
- Legal / safety — when required by law or to protect rights, safety, and security
6. Retention
We retain account and business data for as long as your tenant subscription is active and as needed for legitimate business, legal, and security purposes. QuickBooks tokens are retained while the connection remains active and are removed or invalidated when you disconnect. Sync link IDs and history may be retained to preserve audit trails unless deletion is requested and legally permitted.
7. Security
We use encryption in transit (HTTPS/TLS), encrypted storage of OAuth tokens, access controls, and tenant isolation. More detail is available on our Security page. No method of transmission or storage is 100% secure; please protect your credentials and limit admin access appropriately.
9. Your choices and rights
- Update profile and tenant settings in the application
- Disconnect QuickBooks at any time
- Manage cookie preferences from the site footer
- Request access, correction, or deletion of personal data where applicable law allows

Depending on your location (for example GDPR or CCPA), you may have additional rights. We will respond to verified requests within applicable timelines.
10. Children
Rep Cloud is a business platform and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Changes
We may update this policy from time to time. The "Last updated" date at the top will change when we do. Material changes may also be communicated in-product or by email where appropriate.
